We love to serve our clients and we want you to be informed about what we do with your personal data. This Privacy Notice will let you know exactly what happens to your personal data and how we keep it safe and secure.
We’ll update this Privacy Notice from time to time, so please do check back in to stay informed.
2. Who are we?
We are Dynamicorephysio Ltd. Our Registered Address is 18D Ridgeway, Wimbledon, London SW19 4QN. Our Company Registration Number is 12278431 and our ICO Registration Number is A8526880. We are a Data Controller as defined by the General Data Protection Regulation and the Data Protection Act 2018.

3. What about your Personal Data?
When you attend our clinic: We will collect & process your name, email address, postal address, phone number, financial information, health data including past medical history & current condition so that we can fulfil our contract with you. You may have been referred by another healthcare professional, so we may have received your details from them. We are able to process Special Categories of Personal Data using Article 9(2)(h) of the GDPR which allows us to offer diagnosis, assessment and treatment of health care specific to you. We will process your payment details in a safe and secure way so that we can fulfil our contract to you.
When you attend one of our classes: We will collect and process your name so that we can book a place in the class.
If you send us an enquiry via email, social media or the website: We will answer your enquiry and enter into correspondence with you. We’ll keep this as long as is necessary and then for a further 18 months. If you become one of our clients, we’ll keep your personal data and health records for 8 years, except in the case of children whose records will be kept until they are 25 years old. We’ll keep records of purchases for 7 years according to HMRC guidelines on our online secure system. Any paper records are shredded securely when no longer needed.
When you join our marketing list: We will collect your name and email address. If you are prospective clients, this will be by your consent. If you are a clients of ours, you’ll be on the list because we have a legitimate interest in sending you marketing communications.
When you are one of our marketing list, we will keep your data for as long as you are happy for us sending you news of our offers and events. You can opt out at any time. We will then keep your details on a suppression list so that we do not email you again in error.
4. What communications will you receive from us?
Non-Marketing Communications
If you have treatment with us: We will send you our invoices and any other service-related communications by SMS, email, or post.
If you have an appointment with us: We will contact you by SMS and email to remind you of your appointment with us.
If you contact us with a query: We will respond by email or telephone call to answer your query.
Marketing Communications
If you’re one of our clients: We’d love to send you updates on new products, special offers, events and classes. When you become one of our clients, we’ll check with you that you’re happy to be on our list and give you the opportunity to opt out.
If you purchase a block of sessions: We would like to alert you when you are coming to the end of your sessions so that you have a choice about booking your next block.
If you are on our email marketing list, and you decide to opt out, your data will then go onto our ‘suppression’ list which means that we won’t email you again by mistake.
5. What sort of Marketing do we do?
When we send out email marketing, we use segmentation make sure that messages are tailored to you. We’ll be able to see how successful our email campaigns are by gathering data such as open rate and click through rate. This helps us to improve our service to you.
6. Who do we share your data with?
We are very careful about who we share your personal data with. We make sure that the organisations we work with, such as couriers, take your personal data as seriously as we do. We would never share your data with third parties for marketing activity without your express consent.
The people or organisations we share data with are:
Our Physiotherapists and Practice Manager who are contractors with us. Courier & Postal services, IT company, Webhosts, Marketing Consultancy, lawyers, law enforcement, debt recovery (if required) We use Zoho, Wix and Google within the business to communicate, process personal and make sure we run efficiently.
When we refer you for investigation or further treatment, we will share your personal data including special categories of data with fellow Health Care Professionals such Consultants, General Practitioners or other Physiotherapy professionals so that you can receive the treatment or investigations you need. We have the right contracts in place with all those we refer to, to ensure that they will treat your personal data with respect and adhere to their confidentiality obligations.
The Payment Processors we use are:
Payzone and we also take payment by Bank Transfer.
In the event that Dynamicorephysio Ltd sells or transfers some or all of its assets, your personal data may be transferred.
7. Do we transfer your personal data outside of the UK/EEA?
The systems, apps and third parties we use that are outside of the UK/EEA have the proper safeguards in place. Zoho have servers that are based in the USA, however, these organisations have signed up to EU/US Privacy Shield.
